- first name;
- last name;

- phone number or WhatsApp contact, if provided;
- company name, if provided;
- country or region;

- message, product requirements, project scope, specifications, quantities, or other information included in your request.
If you provide information about another person, you should have authority to provide it for the relevant request or transaction.
2.2 Business, Project, and Transaction Information
If an inquiry progresses, we may process communications and records associated with meetings, needs analysis, project discovery, quotations, proposals, invoices, payments, orders, product specifications, supplier communications, project milestones, fulfillment updates, claims, and customer support.
The information processed depends on the specific operation and on whether DMS supplies a product, provides sourcing or procurement services, or provides software or automation services.
2.3 Technical and Preference Information
When you access the Site, the systems used to deliver and protect it may process basic technical request information, such as an IP address, request date and time, requested resource, browser or device headers, and response status.
The Site also uses:
- a first-party cookie that remembers whether English or Spanish was selected; and
- temporary browser session storage used to restore the page's scroll position during a language change.
Further information is available in our Cookie Policy.
These mechanisms serve only the language-preference and temporary scroll-restoration functions described above.
2.4 Required and Voluntary Information
Fields identified as required are necessary for DMS to process the relevant request appropriately. This does not mean that every item of personal information is legally mandatory.
Phone or WhatsApp contact, company name, and a reference link may be voluntary during the initial contact when they are identified as optional.
If the inquiry progresses, DMS may require additional information necessary for a specific transaction, including recipient, delivery, customs, billing, or project information.
If necessary information is not provided, DMS may be unable to prepare a quotation, accept an order, or perform the requested service.
3. Sources of Personal Information
We generally receive personal information:
- directly from you;
- from a company or other person on whose behalf you communicate with us;
- from suppliers or independent fulfillment and logistics operators when needed to provide order, delivery, or claim information; and
- through the technical operation of the Site.
4. How We Use Personal Information
DMS may use personal information to:
- respond to inquiries;
- review and analyze requests;
- arrange initial meetings or needs analysis;
- prepare quotations and proposals;
- communicate before entering into a contract;
- enter into and perform contracts;
- manage software projects, orders, procurement operations, and product sales;
- communicate necessary information to suppliers and independent external operators;
- provide customer support and administer invoices, payments, accounting records, and transaction documentation;
- comply with applicable legal, regulatory, tax, and accounting obligations; and
- protect the Site and DMS operations and prevent, identify, or respond to abuse, fraud, security incidents, or unlawful activity.
A request, inquiry, or initial meeting does not itself mean that DMS has accepted an order or entered into a contract.
5. Legal Grounds Where Applicable
Where applicable law requires a legal ground for processing, the ground will depend on the context and may include:
- taking steps at your request before entering into a contract;
- performing a contract with you;
- complying with a legal obligation;
- pursuing legitimate interests where permitted, such as responding to inquiries, operating and securing the Site, managing business records, preventing fraud, and establishing or defending claims; or
- your consent, where consent is required for a specific activity.
Where processing is based on consent, you may withdraw that consent at any time. Withdrawal does not affect processing that occurred before withdrawal.
6. How We May Share Personal Information
DMS may disclose personal information only as reasonably necessary for the relevant purpose and transaction. Recipients may include:
- authorized DMS personnel;
- manufacturers, wholesalers, distributors, suppliers, sellers, or established marketplaces involved in sourcing or supplying a requested product;
- independent warehousing, forwarding, carrier, logistics, delivery, or fulfillment operators involved in an order;
- technology, hosting, communications, security, and storage providers used to operate the Site or support business communications;
- payment or financial-service providers used for a particular transaction;
- accountants, auditors, or other professional advisers; and
- government bodies, regulators, courts, or other parties where disclosure is required by law or reasonably necessary to protect rights, safety, or lawful interests.
The recipient categories and information required vary according to the quotation, proposal, order, project, destination, and nature of the transaction. Where reasonably possible, DMS limits information shared to what is needed for the relevant role and purpose.
7. International Processing and Transfers
DMS is a United States company. Personal information may therefore be processed in the United States.
Because DMS may work with domestic and international suppliers, customers, technology providers, and independent fulfillment operators, information may also be processed in other countries where those parties operate. Their data-protection laws may differ from those of your place of residence.
Where applicable law requires a particular transfer mechanism or safeguard, DMS will use the mechanism required for the relevant transfer.
8. Retention
DMS retains personal information only for as long as reasonably necessary for the purposes described in this Policy, including managing an inquiry, quotation, project, order, customer-support matter, warranty, or claim, and complying with accounting, tax, recordkeeping, or other applicable obligations.
The appropriate retention period depends on factors such as:
- whether an inquiry develops into a transaction or project;
- the duration of the contractual or commercial relationship;
- the type of product or service;
- applicable warranty, dispute, or claim periods;
- statutory accounting or recordkeeping requirements; and
- security and fraud-prevention needs.
When information is no longer reasonably required, it may be deleted, anonymized, or securely retained where continued retention is required by law.
9. Security
DMS uses reasonable administrative, technical, and organizational measures appropriate to the nature of the information and the systems in use.
No method of transmission or storage is completely secure. DMS therefore cannot guarantee absolute security, but will take reasonable steps to prevent unauthorized access, alteration, disclosure, loss, or misuse.
10. Your Rights and Choices
Depending on your place of residence and applicable law, you may have rights concerning your personal information, which may include the right to:
- request access to personal information;
- request correction of inaccurate information;
- request deletion;
- request a copy or portability of certain information;
- object to or request restriction of certain processing;
- withdraw consent where processing is based on consent; and
- lodge a complaint with a competent data-protection or consumer-protection authority.
These rights may be subject to legal conditions, limitations, and exceptions. DMS may request information reasonably necessary to verify your identity and protect personal information before responding.
To make a request, email info@dmsglobalsolution.com. DMS will respond as required by applicable law.
11. Cookies and Browser Storage
The Site uses a language-preference cookie and temporary browser session storage for the limited functions described in this Policy.
See our Cookie Policy for their names, purposes, duration, and technical attributes.
12. Changes to This Policy
DMS may update this Privacy Policy to reflect changes in its operations, the Site, or applicable requirements. The revised version will be published on this page with updated effective and last-updated dates.
Changes do not reduce or remove rights that cannot lawfully be excluded.
